Is the full conference located at the Sheraton Myrtle Beach Convention Center Hotel?
Yes, the entire conference agenda will take place at the Sheraton Myrtle Beach Convention Center Hotel. Please note that the conference registration does not include accommodations.

How much does the hotel cost?
HealthCare Chaplaincy Network TM has arranged a special rate for our conference attendees. To see the cost and other relevant details please visit our venue page here. Conference Hotel Rate is $139 per night from Sunday, May 20 – Wednesday, May 23rd and must be reserved by April 19, 2019.

*Please note the hotel is ADA compliant.

Must I stay at the hotel to attend the conference?
No, we are suggesting these hotel accommodations for your convenience. You are free to make independent arrangements for your lodging separate from the conference registration.

Is there a surcharge to my conference registration if I stay someplace else?
No, we are suggesting these hotel accommodations for your convenience.

Can HCCN offer a roommate referral service if we stay at the hotel?
We do not offer this service. If you would like to communicate with conference attendees, you may do so through social media.

What airport should I use?
Myrtle Beach International Airport (MYR) apx 10 minutes from the hotel.

Meals and Dietary Restrictions

Does the conference registration include meals?
The full conference registration includes breakfast all three days and lunch on Monday and Tuesday.

  • Do you offer kosher meals? Yes, kosher meals are offered at $45.00 per meal and may be purchased during the registration process. The hotel can provide breakfast and lunch for this meal option.
  • Do you offer halal meals? Yes, halal meals are offered at $45.00 per meal and may be purchased during the registration process. The hotel can provide breakfast and lunch for this meal option.
  • Do you offer vegetarian meals? Yes, vegetarian, not vegan, meals are provided at no additional cost but must be indicated during the registration process. The hotel can provide breakfast and lunch for this meal option.
  • What do I do if I have food allergies or require a special diet not listed? Please fill this information out in the online registration form with your restrictions; we will do our best to work with the hotel to accommodate your needs.

CEU and Certificate of Attendance

Will I receive a certificate of attendance?
Yes, all Chaplain attending will receive a certificate of attendance/CEU certificate; certificates will be emailed after the conference. You will receive the certificates no later than 3 weeks after the conclusion of the event.

How many Chaplain continuing education units (CEU) does the conference provide?
The conference qualifies up to 22.5 CEUs.

Can I earn Chaplain continuing education units (CEU) through the webcast?
Yes, webcast long distance learning qualifies up to 15.5 CEUs. You will have to sign an online form and view the content within 25 days of the conclusion of the conference.

How many physician CME credits are available for the conference?
This activity has been planned and implemented in accordance with the Essential Areas and Policies of the Accreditation Council for Continuing Medical Education (ACCME) through joint sponsorship of the University of Alabama School of Medicine (UASOM) and the HealthCare Chaplaincy Network. The UASOM is accredited by the ACCME to provide continuing medical education for physicians. The University of Alabama School of Medicine designates this conference for a maximum of 22.5 AMA PRA Category 1 Credit (s)™. Physicians should claim only the credits commensurate with the extent of their participation in the activity. The University of Alabama School of Medicine is an equal opportunity/affirmative action institution.

How many Social Worker contact hours are available?
This program is pending approval by the National Association of Social Workers (for up to 22.5 continuing education contact hours.

How many Nurse CNE or CE contact hours are available for the conference?
Nursing contact hours for this conference are provided by the Westberg Institute, an approved provider of continuing nursing education by the Tennessee Nurses Association, an accredited approver by the American Nurses Credentialing Center's Commission on Accreditation. Provider #018071520.

Can you tell me if all CEU's are free of charge with registration of a site?
There are no extra charges to apply for conference CEU's.

Will virtual participants qualify for Continuing Education?
Yes, All registered conference participants, whether chaplains, social workers, nurses or physicians, are eligible to receive up to 15.5 CEUs. You will have to sign an online form and view the content within 25 days of the conclusion of the conference.

Is there an additional fee for virtual participants to qualify for CEU's for the single $800 fee?
All registered conference participants are eligible to individually apply for CEU's for no extra fee.

Will my accrediting agency accept the conference CEUs?
Acceptance of CEUs is up to your individual accrediting agency. Many state boards accept offerings approved by national or other state organizations. Please check with your own professional licensing board to determine whether our offering will be accepted.

Scholarships and Discounts

Are there scholarships or discounts offered for special sectors (i.e., CPE students, nurses)?
At this time, there are no scholarships. Discounts are available to chaplains and groups as listed on the main page. CPE students may use the Chaplain rate for discount purposes.

Is there a group discount rate?
Group discounts are available please see our fee schedule here for more details. Groups are defined as two or more from one institution when purchased at the same time.


What requirements are needed on our end to participate in the conference virtually via Webcast?
Technical specifications to ensure that webcast participant’s audio, video and computers are compatible with our vendor will be sent before the conference begins.

Will documents, slides, and PowerPoint presentations be available to virtual attendees?
Virtual attendees will have access to a live stream of all three days of the plenary and keynote addresses and registered workshops in their entirety, as well as access to handouts.

Will virtual attendees be able to engage with presenters?
Yes, we will have a “text your question” phone number that could be used to engage with presenters.

Can multiple sites access the webcast using the same access code?
No. There is one webcast license per site however; the webcast license does permit an unlimited number people to view the conference per site.

Content & Video Recording

Will I have access to see the video recording?
Yes, every participant will receive a code to view ALL video presentations regardless of which you may have registered for.

Do you provide copies of the slides?
Copies are provided via the conference app during the conference and via a secure link after the conference for your convenience.


Is there Walk-in or Day-of registration?
Walk-In or Day-of registration will be available however no discounted rates will be available.

What if I only want to attend for one day?
We have single day tickets available. Single day tickets include all activities for the day selected including breakfast and lunch.

Can I get a refund?
We will refund registration fees minus $75 cancellation fee until April 1, 2019. There will be no refunds after that date.

I will be arriving on Sunday; can I start my registration then?
Yes, we will have a pre-registration desk open from 11:00 AM – 4:00 PM on Sunday at the conference venue.

Optional Activities

Are there other activities besides the workshops?
Yes, there will be a President’s Reception on opening day, SCA Member Reception on Tuesday, 15 minute onsite massage therapy sessions, daily scientific poster session, exhibitor’s hall, optional prayers services and a chapel available for private meditation and prayer.

What local attractions are there?
There are beaches, golf courses, thrilling local attractions and tons of aquatic adventure within walking distance to the hotel. Attendees are also just minutes away from "Broadway @ the Beach," Myrtle Beach's premier dining, entertainment and shopping complex.

What information must I provide to be considered for the poster session?
Title, Problem, Action Taken, Outcomes/Data, Institution, Contact email and telephone information. Poster submission will be accepted here

I presented my poster at another conference, could I still be considered for this conference?
Yes, you will still be considered.

What is the deadline for poster submission?
Posters abstracts will be reviewed on a rolling basis until February 28, 2019

Do I have to be at the conference to present my poster?
If you are selected and choose to display a poster at the Annual Conference, you must be registered for the conference and are responsible for your own travel and hotel accommodations.

Will I have an opportunity to speak to conference attendees about my poster?
Yes, we have formal poster sessions scheduled for Tuesday and Wednesday.

Renewal Ceremony

I already registered for the conference do I need register for the renewal ceremony as well?
No, the renewal ceremony is already included in your ticket.
